Name it with the cycle end date shown in your own BreEZe record, not an assumed two-year date. Keep certificates for a different license or cycle outside this folder.

Keep each original certificate unchanged

Save the provider-issued PDF, grade slip, or other original proof. A renamed file is still the same document; do not edit provider details, hours, dates, or signatures.

Use one consistent filename

A practical pattern is YYYY-MM-DD — Provider — Course — Hours. The filename makes sorting easier, but the certificate itself remains the source of truth.

Add one matching row to a CE index

Record the course title, provider and CEP number, completion date, contact hours, and the exact proof filename or folder location.

Before counting the hours, compare the row with the certificate and verify the provider’s current CEP status through the DCA search.

Keep a second copy in a location you control. Test that the files open; a backup that cannot be restored is not a usable backup.

How long do California RNs keep CE certificates?

The California BRN says RNs must keep certificates or grade slips for four years as proof of CE completion in the event of an audit.
