California RN · CE proof

Keep the proof for four years.

California BRN guidance says RNs must keep CE certificates or grade slips for four years as proof of completion in case of an audit. A tracker helps you find the proof; it does not replace it.

4years · retain certificates or grade slips

Why the document matters

Random CE audits ask for supporting proof.

The BRN conducts regular random audits. Your log can show what should exist, while the certificate or grade slip is the evidence to supply when requested.

What belongs in the renewal file

01

Completion certificate or grade slip

Keep the actual document that proves successful completion—not only a calendar entry or payment receipt.

02

Course and provider identity

Record the course title, approved provider name, and CEP number so the certificate and ledger can be reconciled.

03

Completion date and hours

Use the exact date and contact-hour amount shown on the completion document.

04

Renewal-cycle context

Group the proof with the license expiration date, renewal receipt, and final status verification for that cycle.

Private archive pattern

One folder, consistent filenames, two copies.

Use a folder for each renewal cycle, name certificates with the completion date and provider, and keep a second encrypted or physical backup you control. Do not upload certificates, license numbers, or personal identifiers to ShiftProof.
